Who we are

This website is operated by ARCHON 8 LTD, registered in England and Wales with company number 14445522, registered office 20-22 Wenlock Road, London, England, N1 7GU. We trade as ARCHON8 and we are the data controller for the information described here.

What we collect

When you use the enquiry form we collect:

• your name
• your email address
• your company name, if you choose to give one
• the enquiry type you select
• your message

We also hold limited technical information needed to run the form securely, including the time of your enquiry and a protected value derived from your network address used for site security and spam prevention. The platforms that host and deliver this website process ordinary technical data such as network addresses and request details in their server and security logs, and may provide us with aggregate visitor measurement. We have not added analytics, advertising or tracking tools of our own, and this site sets no cookies of its own for tracking or marketing.

Why we use it

• To read and respond to your enquiry, and to continue any correspondence that follows from it.
• To keep the form and the site secure and to prevent spam and abuse.

Our lawful basis is our legitimate interests in responding to people who contact us and in protecting our systems. Where your enquiry concerns work you would like us to do, we also rely on taking steps at your request before entering into a contract.

Client access

If we give you a client account, we hold your username, name and password credentials, the documents we share with you, and security records of sign-in attempts used to protect accounts and prevent misuse. We use this to provide the private document area and keep it secure; our lawful basis is performing our agreement with you, or our legitimate interests in providing and securing the service. The client area uses essential browser storage to keep you signed in; it is not used for tracking. Account details and documents are kept while your account is active and deleted when they are no longer needed for that relationship or for legal reasons.

The same applies to developer accounts we issue for our design workspace: we hold the username, name and password credentials, the projects you are assigned, and the same sign-in security records, and use them only to provide and secure that workspace.

Employee/Contractor Portal

If you work with us as an employee or contractor, we issue you an account with a username, name, type (employee or contractor) and, optionally, a business contact. We only request documents we need for a purpose we state with the request. Files you submit are checked manually by ARCHON8 staff; we do not use automated identity verification.

When you sign an agreement electronically, we keep the original document, the signed copy, and a completion record: your account, the name and signature you typed, the consent statements you confirmed, the time from our server, a fingerprint (hash) of the document, and the network address and browser type used to sign. We use these only to administer the working relationship and to evidence what was agreed. Files are stored privately, are not sent to third-party viewers or analytics, and are kept until we delete them following a periodic review of whether they are still needed.

Where it is stored and who sees it

Enquiries are stored in a private database provided by the platform that hosts this website. Access is restricted to the people at ARCHON8 who need it to reply, and the records are not readable by website visitors.

We use service providers to host this website, store enquiries and handle correspondence. Our email correspondence is handled through Proton Mail. Access is limited to those who need the information to deal with your enquiry.

We do not sell your information or share it for marketing, and we do not use it to make automated decisions about you. We would only disclose it further if the law required it.

How long we keep it

We keep an enquiry while we are dealing with it and for as long as it remains useful for the relationship it relates to — for example so we can pick up the thread if you get back in touch, or where we need to keep a record for legal reasons. When it is no longer needed for those purposes we delete it. You can ask us to delete your enquiry sooner.

Your rights

Under UK data protection law you can ask us to:

• give you a copy of the information we hold about you
• correct anything that is wrong or incomplete
• delete it
• restrict how we use it
• object to our use of it where we rely on legitimate interests
• provide it in a portable form, where that right applies

There is no charge for making a request.

Changes

If we change how this website handles personal information, we will update this notice and the date shown above.
